BPS-Statistics Indonesia is currently open a vacancy
for the position of Finance & Administrative assistant
(FAA).

Terms of Reference

Finance & Administrative Assistant

Duty Station: BPS in Jakarta
Reporting to: Government Project Officers & Programme
Coordinating Officer (PCO)

Key tasks: performing administrative and financial
duties to support the implementation of UNFPA
programme. The tasks includes: arranging meetings &
appointments, establishing contacts, developing and
maintaining a filing system for UNFPA’s programme
activities, establish a documentation system for
publications, programme materials, and inventory of
programme’s properties. Preparing periodic accounting
records, verify budget/accounting data as well as
technical support for financial matters will also be
required.

Duties and Responsibilities:
Finance tasks:
1. Coordinate with government officers in the
preparation of activity and financial reports.
Ensuring that the reports are submitted in formal and
in a timely manner.
2. Maintain petty cash book and vouchers.
3. Reconcile summary of expenditure report on monthly
basis, make corrections, and generate Status
Allocation Report.
4. Ensure that office/programme disbursements are
supported by the necessary documentation, payments
made on a timely basis, the preauthorization is on
file, and incoming invoices are numbered sequentially.
5. Assist National Programme Associate (NPA) and PCO
in preparing budget revisions and
broadsheet/justific ation
6. Work closely with NPA and treasurer in monitoring
programme and project financial status.
7. Submit related financial forms (FACE and work plan)
to UNFPA on timely basis and assure that authorized
official signs the forms, arithmetically correct
calculation, cross-reference to one another as per
UNFPA’s record.
8. Ensure that the amount requested in FACEs are
within the approved work plan.
9. Monitor project’s procurement (logistic), follow
up, and complete all formalities, clearance, custom
clearance and delivery to destination.
10. Keep up to date and ensure that all equipments are
labeled and well maintained.

Administration tasks:
1. Maintain the inventory of non-expandable equipment
for office, and prepare necessary inventory form.
2. Ensure that procurement procedures for office
equipments and supplies are followed up.
3. Establish and maintain systematic system for
filing, documentation correspondence, and information
system.
4. Ensures that the relevant information and records
are readily made available to the programme staff.
5. Manages the office operations and ensure proper
maintenance of office equipment and availability of
office supplies.

Requirements:
1. S1-degree in finance/accountancy or management.
2. Demonstrated experience in administrative and
financial arrangements.
3. Experience in working with government and/or NGOs
is preferable
4. A minimum of 4 years working experience is needed.
5. A strong capability to communicate clearly and
concisely in both oral and written English.
