Sony PlayStation: Executive Assistant (Temporary/Contract)
Foster City, California
We currently have a five month contracting opportunity for an Executive
Assistant to provide administrative support to a member of our
executive team beginning December/January.
Responsibilities:
Administrative Support
* Ensure a timely flow of information, obtain signatures and
authorizations, answer and screen phone calls and manage correspondence flow for
the Executive.
* Maintain a complex calendar and prepare for meetings, scheduling
travel plans and accommodations for the Executive.
* Represent the Executive through initial contact meetings or telephone
conversations.
* Act as administrative liaison between the Executive and other SCEA
groups.
* Coordinate expense reports and oversee department payroll activities.
* Prepare and distribute correspondence, e-mails, facsimiles and other
documents.
* Review, route and follow-up on incoming mail and other documents.
* Create and maintain files and filing systems.
* Effectively utilize software packages to produce the work and
automate secretarial and administrative processes (e.g., Oracle, Citrix,
Excel, Word).
Agenda Planning, Scheduling and Management:
* Arrange business meetings, conferences, conference calls, business
meals and travel.
* Assure smooth, efficient flow of scheduled events and activities,
prepare meeting agendas and publish minutes.
* Continually evaluate competing objectives, priorities and requests.
Project Management:
* Track projects and work related issues (e.g., documents, calls,
requests, mail, e-mails, facsimiles, reports, files and filing) to
proactively manage before timing and quality might be jeopardized.
* Continually improve processes and procedures to reduce work time and
cost without compromising work quality.
* Assist with the management and upkeep of the department budget.
Communication:
* Sustain effective secretarial/administrative relationships with
external SCEA groups, as well as with vendors and industry contacts.
* Convey a professional image of the office to people inside and
outside the company.
* Keep others informed on a need-to-know basis of the latest
priorities, objectives and schedules.
* Prepares presentation materials for various meetings. Indepth
knowledge of the organization and Company information and excellent
communication skills are required.
* Occasionally assist in preparing presentations in PowerPoint format.
* Proficient in using Lotus Notes, Microsoft Office: Word, Excel, and
PowerPoint, and Internet applications.
* Ability to maintain strict confidentiality with privileged
information.
* Ability to make good, timely decisions in relatively complex
situations.
* Effectively build working relationships inside and outside the work
group.
* Comfortable tracking a large and complex budget across the various
departments; able to work with a broad range of people internally (from
brand managers, promotions people, PR, creative services) and liaise
with finance on budget updates, especially at month end, year end, etc.
* Three to five years of experience.
* A degree from a four-year college (i.e., BA, BS).
