We are looking for an innovative and experienced Senior/Executive
Administrator to provide administrative support to the Vice President of
Sales, Americas and EMEA, in achieving overall business objectives. Based
out of Palo Alto, California, the ideal candidate will have multiple
years of progressively demanding and complex administrative support
experience at an executive level. Qualified candidates should possess the
ability to work autonomously, take initiative, and multi-task in a fast
paced environment.

Responsibilities:

• Coordination of domestic and international travel and meeting
arrangements with consideration for complex logistics (time zones,
geographical distances, etc.)
• Daily management of calendar activity and scheduling requests for
Global Sales Executive(s).
• Provide effective support of the Vice President in managing internal
and external communications with employees, customers and industry
partners.
• Assist with the preparation of expense reports, purchase orders and
budget tracking.
• Prepare meeting materials, including sales department reports,
presentations and handouts using Microsoft PowerPoint and other presentation
applications.
• Represent the Vice President professionally and proactively in all
telephone and written correspondence. Interface with high-level contacts,
using considerable professionalism, diplomacy, discretion and good
judgment.
• Event planning and execution of quarterly regional team
meetings/trainings and annual worldwide sales meetings for 100+ participants.
Responsibilities include meeting budget management, site selection, logistics
coordination, vendor management and, as necessary, on-site meeting
facilitation to assure high quality meetings.
• Provide administrative support to Vice President, Emerging Markets
Sales as necessary.


Requirements:

• Associates or Bachelor´s degree in a related field or a minimum of 5
years’ sales administration experience in a fast-paced global company.
• Proficient in Microsoft Office Applications including Word, Excel,
PowerPoint, and Outlook a must; experience with Salesforce.com desired.
• Experience managing cross-functional written and verbal
communications with internal and external contacts.
• Demonstrated ability to work under time pressure and meet set
deadlines.
• Ability to work remotely and independently; a self managed person;
excellent time-management and organizational skills required.
• Extensive experience with domestic and international travel
arrangements for individual and group travel and experience scheduling meetings
and communication across international time zones.
• Must be resourceful and have the ability to multi-task and prioritize
projects in a fast-paced environment.
• Must possess the ability to anticipate change and react efficiently
and expeditiously.
• Prior experience supporting multiple executives is a plus.
